Do you really own your data?

Customers, invoices, history: it all lives in your software. Could you get it all back tomorrow if you switched tools? Five questions to ask.

Your customer records, invoices, inventory and years of history make up a large part of what your business is worth. Yet that data often sits with a vendor, in a format the vendor controls.

As long as all is well, that is not a problem. It becomes one the day the price goes up, the software shuts down, or you simply want to switch.

1. Can you export everything?

Many tools let you export a customer list. Far fewer give you everything back: the history, the attached documents, the links between records. Test it before you need it.

2. In what format?

A file no other software can read is useless to you. Ask for a common format that opens in a spreadsheet or can be imported elsewhere.

3. What happens if you cancel?

Read the terms. Some vendors delete your data shortly after the contract ends. Others cut off access after a single late payment.

4. Who else can access it?

Check where your data is stored and what the vendor is allowed to do with it, for example to train its own artificial intelligence tools.

5. What would switching cost you?

If leaving a tool means typing everything in again, you are no longer really free to leave. And the vendor knows it.
